General

Before printing a dialogue, the print box,  is shown. Using F7 lets you choose the output. Choices are printer, preview, fax, email and file. Direct output without prior selection of the destination is limited to very few  occasions.

Output to file can be reached too, from the preview. Here you are offered further choices with respect to the output format . Choose between ASCII, HTML, PDF, EXCEL® etc.

The „TargetDevice“ is available as data field in the report designer. It can be loaded from the table "Grundwerte" (German equivalent of "basic values". This table holds a variety of always available fields from the company's master data and system related data, such the company's name and address, document name, dates etc.). The value from the field TagetDevice can be queried at printing and may control the design of your report, thus allowing different design, actions etc within the same report template.

Letterhead

The letterhead can hold the corporate design of your stationary. For each printout a letterhead can be chosen from the drop down list. Technically speaking, the report is copied onto the template. These templates can be created in the report designer and are located in the General section. For no letterhead, chose the corresponding the selection from the list.

Some letterheads are provided as part of the program. You can use those as templates for the ones you want to create. The general layout of all included report templates require a page setting of 297 mm length and 210 mm width (Din A4).

The provided letterheads do include the company's name and address, as well as other relevant data from Accessories/Settings/Basic Data. This includes your logo, which you can sore there too.

Standard (blank)

Holds only the page number and the crop marks for DinA4 (1/3 fold)

Your logo is on the upper left hand corner and relevant data is spread across the width of the page. The bottom of the page holds the banking information and page number.

Logo is placed in the upper right hand corner. Company data is shown in a frame on the right hand side of the page, from top to bottom.

Number of copies

Number of copies to print. You may want to save this setting as standard for the respective printer group. The copy counter can be used in the reports to control page titles such as COPY or ARCHIVE. Templates provided are using this feature.

 

Language

Select the required language. In reports related to a customer, this box holds the language set as default in the address's basic data. Available correspondence languages are optional and have to be purchased separately. The primary language, the one corresponding to the localized version of the EULANDA® ERP, is always available. 

Templates are translated while printed. Articles can be set up for multiple languages, thus allowing to even print the article's detail data in the customer's language to fully internationalize the reporting system.

 

Printer

Shows the installed printers. Names shown follow the UNC naming convention for networks. ("\\server\printershare"). The printer can be pre selected as default printer for a given printer group.

 

Bin first page

Select the bin for the first page. You may save the setting as default.

 

Subsequent pages

Select the bin for the subsequent pages other than the first page. You may save the setting as default.

 

Set as default for a group of printers (e.g. Lists)

You want to set the printer as default printer for a specified report so all printouts of this report are always directed to the same printer ?

Of course that works !
The software uses profiles to manage reports and printers. All supplied reports have been pre assigned to logical groups. Labels are in the printer group (=profile) "Labels". Other forms as proposals, sales and purchase offers and invoices etc. are put in the profile "Default", lists are in "Lists".

A printer group holds the hardware and software setting applicable to a variety of reports, hence all reports printing on the same printer, with the same number of copies and from the same bin, are put together. These groups are managed in the report designer. Their settings are controllable in the Print Box. You may save these settings as default settings for a particular printer group.

To add new printer groups open the Report-Designer. Click in the quick start section on System Settings and then on Report-Designer. Select the report and click on properties. Put a name in the field of the the printer groups. Add if necessary. Once created , you can select the appropriate settings in the printer box, as described above.

 

Preview

 

Hint
Every print out can be previewed. Press and hold the left mouse button while in the screen and you can scroll the page.

You can print directly from the preview. Select the corresponding icon. In addition to the regular Print Box, you can chose the print out be directed to a file. Select the required format from the drop down menu.

This dialogue lets you choose not only the sort order but allows to specify the range of pages to be printed. If you have selected PDF as format, be reminded, that the build-in generator is used. It does not support any Rich Text, no italic fonts and no special elements, as opposed to email.  An explanation of these limitations can be found in the chapter „Limitations“ of the user's handbook.

 

Fax

 

Print out to Facsimile

This options expects a corresponding printer driver be available. Please refer to the chapter  „Settings“.

 

Edit facsimile before sending

Provided you use the GFI Faxmaker solution, EULANDA® ERP supports the editing. The fax is generated graphically and will be sent as attachment using the MAPI system. The body of this message can be altered, if the option has been activated.

Hint
If you use fax as output printer in mail merge situations, make sure the option 'Edit before sending' is deselected. Otherwise you will be prompted with every single fax.

 

Other options

Options like "Sent immediately", "Optimize before sending" and "Resolution" are inactive with available drivers and will become functional with future enhancements of driver and program.

 

Email

 

Output as Email

Proposals, Invoice etc can be sent as PDF attachments. The way the PDF will be generated depends on the settings made in the section  "PDF".

Either MAPI or SMTP protocols are supported. Which of the two is used, depends of your email settings.

 

File

Print to file generates a PDF. In case other formats are required, please select from the drop down provided in the Print box when previewing the report.

Print to file

The output depends on the settings made in the section „PDF“. Aside the output to PDF, you can select an output to the archive. The spooler is updated with any new revision of the document chosen.
